    UBEO Business Services, the premier provider of business technology products and services, is seeking to hire an Executive Assistant to join our team for the Roseville, CA.

    UBEO is a distributor/servicer of document equipment and software solutions. Primary products include Xerox, Ricoh, Canon and Konica Minolta multi-functional equipment and Kyocera printers. UBEO specializes in electronic document management software and integrations.

    Responsibilities

    The primary responsibilities of this position is as follows:

    • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, transmitting text, data, and graphics.
    • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
    • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
    • Maintains customer confidence and protects operations by keeping information confidential.
    • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
    • Prepares reports by collecting and analyzing information.
    • Provides historical reference by developing and utilizing filing and retrieval systems
    • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies,
    • Understand new equipment and techniques
    • Training Staff and Customers
    • Contributes to team effort by accomplishing related results as needed.
    • Assist with locating space and book event space when needed, arrange catering, order supplies, make travel arrangements when needed, order event signs, meet the quality expectations.
    • Gather information on each project to achieve quality event productions.
    • Conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
    • Propose new ideas to improve the event planning and implementation process.
    • Serve as liaison with vendors on event-related matters.
    • Assist with managing on-site production and cleanup for events as necessary.
    • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
    • Close out all events as required.
    • Assist with preparing budgets and provide periodic progress reports to staff directors for each event project.
    • Keep track of event finances including check requests, invoicing, and reporting.
    • Coordinate appointments and visits to see space, and scheduling of events on the calendar.
    • Prepares new sales representatives orientation, introduce Ray Morgan procedure, salesforce processes ; providing resources and assistance; scheduling orientation drive-alongs with senior representatives.
    • Improves training effectiveness by developing new approaches and techniques; making support readily available; integrating support with routine job functions.
    • Sales Support training sessions on equipment , salesforce
    • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
    • Accomplishes sales training and organization mission by completing related results as needed

    Qualifications

    • High School or GED
    • Associates Degree or equivalent technical training
    • Successful completion of:
      • Manufacturer Core Basics
      • 2 Manufacturer Training Classes
    • 2 – 5 years industry or equivalent experience

    Physical Demands & Work Environment

    • Bachelor’s degree
    • At least 5 years of executive assistant experience required

    Remuneration for this role: $66,560 - $100,000 annually. Individual compensation packages are competitive and commensurate based on various factors unique to each candidate, including skill set, experience, qualifications, and other job-related reasons.
